Instructions for Special Visa-Related Services for International Students

This page provides instructions on photo requirements, off-campus internship endorsement, and additional entry applications for X2 visa holders.

Photo Requirements for Visas and Residence Permits

  1. Submit two identical two-inch, white-background, front-facing, bareheaded color photos. Matte photo paper is not accepted.

  2. Facial features must be clearly visible. Eyebrows must be visible, teeth must not be shown, and there must be no reflection on the face.

  3. Glasses, contact lenses, and accessories must not be worn.

  4. A dark-colored top should be worn. Camouflage clothing, uniforms, or clothing with epaulettes must not be worn.

  5. Headscarves may be worn for religious reasons, but they must not cover the facial features.

Instructions for International Students Applying for an Off-Campus Internship Endorsement on a Residence Permit for Study

I. Scope of Application

An off-campus curricular internship for international students refers to an off-campus internship activity organized and implemented by international students in accordance with the University’s teaching plan, without receiving any labor remuneration (except for transportation and meal allowances).

II. Eligibility Requirements

International students applying to participate in an off-campus curricular internship shall meet all of the following requirements:

  1. The applicant shall be a degree-seeking international student (undergraduate or graduate student) studying at Beijing Foreign Studies University and shall hold a valid residence permit for study;

  2. The internship content shall be related to the student’s major, training program, or teaching plan;

  3. The student shall not participate in off-campus curricular internships at two or more organizations at the same time;

  4. The student shall have purchased valid insurance that covers accidental injury or relevant liability risks during the internship;

  5. The student’s current student status shall be normal, with no suspension of study, withdrawal, cancellation of student status, or other circumstance that may affect the handling of the off-campus internship endorsement.

III. Application Procedures

1. School/Department Review

The student shall submit the Beijing Foreign Studies University International Student Application Form for Off-Campus Internship Endorsement (《北京外国语大学国际学生校外实习加注申请表》) and relevant application materials to the student’s school/department. The school/department shall review the materials submitted by the student. If the materials meet the requirements upon review, the school/department shall sign and stamp the application form.

2. University Approval

The student shall submit the application materials approved by the school/department, together with the Certificate of Consent to Accept a Foreign Student for Internship(《同意接收外国留学生实习证明》) and Enterprise Information Collection Form(《企业信息采集表》) issued by the internship organization, to the Overseas Students Affairs Office.. Upon approval, the Overseas Students Affairs Office will issue the Letter of Consent for Off-Campus Internship (《校外实习同意函》).

The application materials submitted by the student shall be truthful, accurate, complete, and in compliance with the processing requirements of the public security organ’s exit-entry administration department and the University. Review, signature, and stamping by the school/department do not mean that the application materials have met the requirements for handling the off-campus internship endorsement. The Overseas Students Affairs Office will conduct a further review of the application materials. If the materials do not meet the requirements, are not filled in properly, are incomplete, have an altered template, contain inconsistent internship organization information, or involve any other circumstance that does not meet the acceptance requirements of the public security organ’s exit-entry administration department, the Overseas Students Affairs Office will not issue the Letter of Consent for Off-Campus Internship or relevant application materials. The student shall resubmit materials that meet the requirements before applying for subsequent procedures.

3. Handling the Endorsement Procedures

The student shall take the relevant materials to the Exit-Entry Administration Department of Beijing Municipal Public Security Bureau to apply for the off-campus internship endorsement on the residence permit for study.

IV. Important Notes

  1. The off-campus internship endorsement may be processed together with the extension, change, or other procedures related to the residence permit for study. The student shall submit the corresponding application materials as required;

  2. International students may start the off-campus internship only after completing the off-campus internship endorsement procedures and obtaining the endorsed residence permit for study;

  3. During the internship, if there is any change to the internship organization, internship duration, or internship content, or if the internship is terminated early, the student shall promptly report to the student’s school/department and the Overseas Students Affairs Office, and complete relevant procedures as required;

  4. If an international student participates in an off-campus internship without University approval or without completing the off-campus internship endorsement procedures in accordance with law, the University will handle the matter in accordance with relevant laws and regulations as well as University rules and regulations.

V. Requirements for Completing the Certificate of Consent to Accept a Foreign Student for Internship

When applying for an off-campus internship endorsement, the student must submit the Certificate of Consent to Accept a Foreign Student for Internship (《同意接收外国留学生实习证明》) issued by the internship organization. The certificate must be completed strictly in accordance with the prescribed template. All information in the template, including the organization name, student name, passport number, internship start and end dates, internship position, internship content, organization seal, and date of issuance, must be accurate and complete.

1. The certificate template shall not be altered without authorization

The Certificate of Consent to Accept a Foreign Student for Internship (《同意接收外国留学生实习证明》) must use the template prescribed by the University. All blanks in the template must be completed in full. Except for filling in the corresponding content in the blanks, no words, format, or wording in the template may be deleted, added, or modified. If the template is altered without authorization, the public security organ will not accept the application.

2. The organization name must be exactly consistent

All places in the certificate involving the name of the internship organization must be exactly consistent, including the organization name filled in after “兹有我__________公司”, the organization name filled in at the signature/seal section “(单位名称)”, and the organization name shown on the official seal affixed by the internship organization. The above three names must be identical character for character. Abbreviations, alternative names, or different expressions shall not be used.

3. The student name shall be filled in according to the passport information

In the blank “______先生/女士”, the student’s name shall be filled in completely according to the name shown on the passport information page. The letters, order, spaces, and other details of the name shall be consistent with the information on the passport information page. No omission, abbreviation, or self-adjustment is allowed.

4. The internship content shall not contain the Chinese word “工作”

The content filled in after “具体实习内容如下” shall specify the specific internship matters in which the student will participate during the internship. The Chinese word “工作” must not appear in the internship content. If the word “工作” appears, the public security organ will not accept the application.

5. The internship start and end dates shall meet the processing requirements

In the sentence “自____年____月____日至____年____月____日在我公司实习”, the internship start date and end date shall be filled in accurately. The internship start date shall not be earlier than the date that is 15 days after the date on which the student formally submits the application to the Overseas Students Affairs Office. For graduating students, the internship end date shall not be later than 45 days before the study end date. For all students, the internship end date shall not exceed the validity period of the student’s visa.

6. The official company seal shall be used

The internship organization’s official company seal shall be affixed at the signature/seal section “______(单位名称)”. Contract seals, human resources department seals, finance department seals, or other departmental seals shall not be used.

7. The date of issuance shall not be later than the formal application date

The date of issuance in the lower right corner of the certificate shall not be later than the date on which the student formally submits the application to the Overseas Students Affairs Office. The “formal application date” refers to the date on which the student has prepared all required materials and submits them to the Overseas Students Affairs Office. If the materials are incomplete, the application is not deemed to have been formally submitted.

8. The application shall not be submitted too early

The date on which the student submits the application to the Overseas Students Affairs Office shall not be earlier than one month before the internship start date.

These Instructions are intended only to explain the procedures and material requirements for international students of Beijing Foreign Studies University to apply for an off-campus internship endorsement. The final acceptance result shall be subject to the review opinion of the public security organ’s exit-entry administration department.

Instructions for Applying for Additional Entry for X2 Visa Holders

I. Applicable Students

International students holding an X2 visa issued by a Chinese embassy or consulate outside China who need to temporarily leave China and re-enter China during their study period for special reasons may apply for an additional entry for their X2 visa.

The specific reason for leaving China must be stated in the application form and reviewed by the student’s school/department and the Overseas Students Affairs Office.

II. Application Notes

In principle, each application may apply for only one additional entry.

After the approved additional entry has been used, if the student still needs to leave and re-enter China again, a new application must be submitted. Whether the application will be accepted or approved shall be subject to the review result of the Exit and Entry Administration of the Beijing Municipal Public Security Bureau.

III. Application Procedures

1. Complete the Application Form

Students shall download and complete the Application Form for Additional Entry for X2 Visa Holders as required (see attachment).

2. School/Department Review

The student’s school/department shall review the reason for application and sign the application form for approval.

3. Submit Application Materials

Students shall submit the required application materials to the visa affairs personnel of the Overseas Students Affairs Office.

4. Appointment and Submission

After reviewing and organizing the application materials, the visa affairs personnel will assist in arranging an appointment at the relevant Exit and Entry Administration service location according to appointment availability. The student shall appear in person to submit the application materials.

5. Approval Result

Whether the application is approved shall be determined by the Exit and Entry Administration of the Beijing Municipal Public Security Bureau.

6. Collection of Documents

After the application process is completed, students may collect their documents from the Exit and Entry Administration by presenting the VISA/STAY PERMIT/RESIDENCE PERMIT APPLICATION RECEIPT.

If students need the visa affairs personnel to collect the documents on their behalf, they shall submit the VISA/STAY PERMIT/RESIDENCE PERMIT APPLICATION RECEIPT and the corresponding processing fee to the visa affairs personnel in advance. The specific collection arrangement shall be subject to the notice of the visa affairs personnel.

IV. Submission Location and Service Hours

On-campus Submission Location: Visa Affairs Desk, 1st Floor, Student Service Hall

On-campus Service Hours: Working Days; Morning: 10:00–12:00; Afternoon: 14:00–16:00

Exit and Entry Administration Service Location: The specific service location will be notified separately by the visa affairs personnel according to appointment availability.

V. Processing Time

The processing time is generally about 10 working days, calculated from the date on which the application is formally accepted by the Exit and Entry Administration. The actual processing time shall be subject to the processing schedule of the Exit and Entry Administration.

The time required for internal University review and appointment arrangements is not included in the above processing period. Students are advised to apply in advance to avoid affecting their travel plans.

VI. Fees

The application fee is charged by the Exit and Entry Administration. The fee standard may vary depending on the applicant’s nationality and shall be subject to the actual amount charged on site.

If students need the visa affairs personnel to collect documents on their behalf, they shall submit the corresponding processing fee to the visa affairs personnel in advance.

The University does not charge any service fee for this application.

VII. Required Materials

  1. Completed Application Form for Additional Entry for X2 Visa Holders signed and approved by the student’s school/department;

  2. Original passport;

  3. Copy of the passport information page;

  4. Copy of the visa page.

VIII. Important Notes

  1. Students shall not leave China before the additional entry is approved. Otherwise, they may not be able to re-enter China using the original X2 visa.

  2. Students are advised to apply in advance to avoid affecting their travel plans.

  3. Whether the application will be accepted or approved shall be determined by the Exit and Entry Administration of the Beijing Municipal Public Security Bureau.

  4. If the approved additional entry has already been used and the student still needs to leave and re-enter China again, a new application must be submitted. Whether the application will be accepted or approved shall be subject to the review result of the Exit and Entry Administration of the Beijing Municipal Public Security Bureau.

  5. Students shall submit truthful, accurate, and complete application materials. If the materials do not meet the requirements or do not satisfy the acceptance requirements of the Exit and Entry Administration, the visa affairs personnel may require the student to supplement, revise, or resubmit the relevant materials.
